Job Title: Field Service Administrator

Location: Hinckley
Pay Rate: £14.42 per hour
Contract Type: Temporary (Temp to Perm for the right candidate)
Working Hours: Monday–Friday, between 8:00am and 6:00pm

Role Summary

The Field Service Administrator plays a critical role in supporting the operational readiness, performance, and efficiency of all field service team. This position ensures that field staff are properly onboarded, trained, equipped, and supported throughout the lifecycle of their work assignments. Acting as the primary administrative link between the office, project management teams, and field resources, the Field Service Administrator helps maintain high standards of safety, quality, and productivity across field operations. This is a temporary-to-permanent opportunity, offering the chance for long-term career progression within a growing and supportive team.

Key Responsibilities

  1. Onboarding & Resource Management
  • Support the full onboarding process for new field service employees and contractors, ensuring timely completion of all HR, safety, compliance, and project-specific documentation.
  • Coordinate provisioning of essential field assets, including vehicles, tools, PPE, project materials, and technology devices (laptops, tablets, mobile phones).
  • Track, maintain, and update personnel files, certifications, licenses, and safety training logs within the designated project management or workforce management system.
  • Ensure resource readiness prior to deployment, including verification of mandatory certifications, training completions, and equipment issuance.
  1. Training & Documentation
  • Develop, organize, and maintain a centralized repository for all training materials, SOPs, safety manuals, and project-specific documents.
  • Schedule, coordinate, and monitor initial and recurring training sessions (e.g., safety certifications, technical skill development, manual handling).
  • Serve as the document control point-of-contact, ensuring field teams always have access to the latest versions of work instructions, blueprints, change orders, and quality documentation through the appropriate digital platforms.
  • Support the creation and distribution of training content in collaboration with Safety, HR, and Technical teams.
  1. Performance Monitoring & Field Support
  • Track and report on key performance indicators (KPIs) such as job completion rate, first-time fix rate, safety compliance, and productivity trends.
  • Administer field ticketing systems and reporting tools, ensuring timely submission and accuracy of daily logs, work orders, expense reports, timesheets, and project updates.
  • Provide the Field Service Manager with organized, objective performance data and administrative insights to support personnel reviews and resource planning.
  • Respond to administrative inquiries from field staff, offering troubleshooting support for documentation access, system usage, and compliance requirements.
  • Identify recurring issues in the field and escalate them to management, contributing to continuous improvement initiatives.

Qualifications & Skills

  • Minimum 1 year experience in field service operations, project coordination, or administrative support roles.
  • Strong organizational and multitasking skills.
  • Familiarity with project management systems, workforce management platforms, or document control tools.
  • Excellent communication skills and the ability to coordinate across multiple teams.
  • High attention to detail and a proactive, solution-oriented approach.
